Up to 1,500 people are expected to attend this conference from more than 150 countries.

Exhibition Booth Space

Due to the extremely high demand for exhibition booths and exhibition space at our previous conferences we have decided to switch from using hotel function venues to the AsiaWorld-Expo which is a brand new conference and exhibitions center located in next to Hong Kong International Airport.  We will now have approximately 2,000 m2 (20,000 feet2) of floor space allocated for exhibition booths.

Who is invited to exhibit at Sino-International 2008?

Freight forwarding companies and all organizations associated with the international logistics industry such as ports, airports, railways, airlines, freightliners, etc., are invited to rent booths and promote themselves during the conference.  Please see the following information for more details.

* Conference organizers will be responsible for setting up, dismantling and removing all exhibition booths provided by us only.  Any parties bringing their own booths will be responsible for setting up, dismantling and removing them within the allotted times (information regarding setup and dismantling can be found further below).  Those using Basic or Advanced options will be responsible for putting up and taking down their own booth artwork / inkjet prints.   Conference organizers will not be responsible for collecting or storing any booth artwork / inkjet prints, or any promotional materials left behind during dismantling unless arrangements have been made in advance.

Note: *  If your company is both a sponsor and has an exhibition booth package, you will only receive the highest benefit of the two for certain items.  For example, if your company has the “Advanced” Exhibition Booth package and is a “Platinum” sponsor, you will receive a 2-page advertisement in colour and not 3 pages.  The maximum number of pages for advertising we can provide to any one company regardless of the number of Optimum booth packages or sponsorship level is 2 full pages.

* Exhibitors can select a panel type - either 5 or 7 panels with or without side walls - and locations will be allocated on a first come, first served basis.

Basic: standard white panels, a table, two chairs, and a trash bin are provided but without logo.

Submission Deadline

  • Do not delay. Exhibition space, especially choice of location is on a first come / first served basis.

All artwork must be submitted no later than 21st May 2008.

 

Contract Conditions, Rules & Regulations for Exhibitors

  1. Assignment of Exhibit Space: Will be on a first come first served basis. The applications received with full payment will be confirmed for booth space selection which is considered by the postmarked date on the transmittal envelope. In the case of a faxed credit card payment, by the time/date stamp on the fax cover sheet, or in the case of an on-line payment, by the time/date stamp of submission. Exhibit space is not confirmed, and is available for sale, until WCA Family of Logistic Networks, Ltd. receives payments.

  2. Shipping: All exhibitors shall take care of the shipping of their materials, ground handling, reception, unpacking and storing of the goods as well as of the removal of the materials after the exhibition. The exhibitor is responsible for the installation and dismantling of his own stand walls and other decoration materials.

    The cost of transporting your booth to the meeting venue is not the responsibility of the conference organizers or the exhibition centre. Assistance in the design and manufacture of a display booth is available for an additional fee.

  3. Setup of Exhibits: The Expo area will be open for exhibitors to begin setting up at 08:00 hrs on Saturday, 21st June 2008. Exhibitors must complete setup by 17:00 hrs on the same day.  The exhibition area will be opened for conference attendees for the first time on Sunday, 22nd June 2008.

  4. Removal of Exhibits: Exhibits must not be disturbed, dismantled or removed before 17:00 hrs on Tuesday, 24th June 2008.  However, all exhibits must be removed by 22:00 hrs on the same day.  For Exhibits not removed by that time, management will remove exhibits and charge expenses to the exhibitor.

  5. Insurance and liability : Exhibitors assume the entire responsibility and liability for losses, damages and claims arising out of injury to persons or damage to Exhibitors displays, equipment or other property brought upon the premises of the AsiaWorld-Expo and agrees to indemnify, save and hold harmless The 5th Annual Sino-International Freight Forwarders Conference, WCA Family of Logistic Networks, Ltd. its operator, and each of their respective parents, subsidiaries, affiliates, representatives, owners, officers, directors, servants, agents and employees against all claims or expenses for such losses, including any liability caused by the sole gross negligence of The 5th Annual Sino-International Freight Forwarders Conference, WCA Family of Logistic Networks, Ltd.

    WCA Family of Logistic Networks, Ltd. and the Exhibitor understand that neither The 5th Annual Sino-International Freight Forwarders Conference, WCA Family of Logistic Networks, Ltd., nor the AsiaWorld-Expo maintains insurance covering the Exhibitor's property or lost revenue, and it is the sole responsibility of the Exhibitor to obtain such insurance. The Exhibitor shall obtain and keep in force during the term of the installation and use of the exhibit premises, policies of Comprehensive General Liability Insurance and Contractual Liability Insurance, insuring and specifically referring to the Contractual liability set forth in this Contract, in an amount not less than US$ 1,000,000.00 Combined Single Limit for personal injury and property damage.

    The 5th Annual Sino-International Freight Forwarders Conference, WCA Family of Logistic Networks, Ltd. AsiaWorld-Expo, its owners, and its operator, shall be included in such policies as additional named insured. A copy of the Insurance Certificate must be submitted to WCA Family of Logistic Networks, Ltd. prior to opening day.

Cancellation of Exhibition Space Contract : A request for cancellation of an exhibition space contract must be made in writing to WCA Family of Logistic Networks, Ltd., by 21st May, 2008. All exhibition booth payments include a non-refundable US$ 100.00 processing fee. Cancellation and refund requests received after 21st  May, 2008 will not be considered unless and until such space has been resold.  Space not fully paid for by 21st May 2008 is subject to cancellation or reassignment at the option of WCA Family of Logistic Networks, Ltd., without obligation for refund of any monies previously paid by the exhibitor. Should any rented space remain unoccupied on the opening day, or any time thereafter, WCA Family of Logistic Networks, Ltd. reserves the right to rent such space to any other applicant, and no refund shall be made to the original renter.
